What to have ready
What to gather now so your first week with Rufio moves quickly
Goal
Gather what Rufio will ask you about first, so your first week moves quickly instead of starting from a blank page.
Before you start
None of this needs access to Rufio. It's information you already have about how your business runs today — the only work is writing it down before anyone asks you for it. Nothing here is required to join the waitlist; it's preparation for once access opens.
Steps
- Write down how work comes in and what happens after that. Rufio starts from an industry-informed setup, then asks about the parts that make your business yours: how work comes in, what happens next, what you charge, what customers expect, and which rules should never be broken. Short, plain answers to those — even a few sentences each — are the single most useful thing you can have ready.
- List the rules that matter most, in your own words. These are the kind of thing a business only wants to explain once — not booking certain time slots, rounding estimates a particular way, preferring a call over a text with certain customers. A plain list is enough; it doesn't need to be a polished policy document.
- Decide what you want Rufio working on first. Rufio applies a supported setup for your kind of business and shows you what needs confirming, so you're not configuring anything from scratch. Choosing where you'd like help first — scheduling, invoicing, customer follow-up — gives you a useful starting point for shaping that setup.
- If phone handling matters to your business, have a business phone number ready to connect. Handling incoming and outbound calls needs a phone number connected before either can run.
- If you take payments online, have that account ready to connect. Routing payments online needs a payment account connected before it can run.
- If campaigns, audiences, landing pages, forms, or review requests matter to you, have your domain ready to connect. All of these need a domain connected before they can run.
- If you route anything for signature, or already rely on other business tools you'd want connected, note which ones. Both also need to be set up before they can run — knowing which ones matter to you now saves working it out later.
Verify
You're ready when you can write, in a few sentences each: how work reaches you, what you charge, and the rules you'd never want broken — plus which of a phone number, a payment account, or a domain you'll need to connect, based on what your business actually uses today.
If it doesn't work
You don't have a business phone number, payment account, or domain yet. That's fine. None of it is required to join the waitlist, and nothing here blocks you from preparing everything else — it only means that one piece won't be ready to connect right away.
You're not sure where you want help first. Choose something you would like prepared, kept in view, or made easier — an invoice draft, follow-ups, or a custom report. You can begin with review and approval on every action, then adjust the setup as you learn what is useful.
Your rules keep changing, or you don't have a fixed list. Write down the ones you're sure about now. A short, honest list is more useful than a complete one you never finish.
